SERVICE VOUCHER SYSTEM

Since January 1st 2016, service vouchers have been regionalized.

The system of service vouchers is an initiative implemented by the Belgian National Employment Office. Service vouchers are a subsidized means of payment (under the form of paper or electronic vouchers) allowing a person to benefit from household help, ironing, grocery shopping or transport of people with reduced mobility at an advantageous rate.

Available in your e-wallet within 24 hours after receipt of your payment.

Delivered by post to your address within 5 working days after receipt of your payment.

Your housekeeper is responsible for recording the number of hours carried out. You can then validate these via the mobile application 'Titres-Services by Sodexo' or via your Secured Space.

You are responsible for completing and handing the service vouchers to your housekeeper.


The use of electronic service vouchers is safer. Electronic service vouchers have many advantages over paper service vouchers:

  • Good for the environment : less paper means less pollution !

  • Reduced probability of loss or theft (online management)

  • The "oldest" service vouchers are automatically used first

  • Guarantee that the service vouchers meet all requirements in terms of completeness of information

  • Available immediately

Validity of service vouchers


Paper and electronic service vouchers purchased after 1 March 2017 are valid for 6 months from their date of issue (e.g. vouchers issued on 05/03/2017 are valid until 30/09/2017).

Paper and electronic service vouchers purchased before March 1, 2017 are valid for 8 months from their date of issue (e.g. vouchers issued on 15/02/2017 are valid until 31/10/2017).


How to use my service vouchers?

Subsequent to the ordering of the electronic service vouchers by means of a wire transfer to the appropriate bank account number (depending on your region), your electronic wallet will be automatically updated and visible on your Sodexo Secure Space.

This Secure Space will enable you to consult your service voucher balance, to confirm/dispute the provision of services of your housekeeper and to modify your personal data (i.e. in case of change of address).

2 / Confirmation of the provision of service

 

Successively to the delivery of his/her services, your housekeeper will provide a confirmation of the latter by phone or via the mobile application "Job Tracker Sodexo".

We then verify this information before allowing you to validate it via your Secure Space or your mobile application. In the absence of your validation within 9 days, the service will automatically be considered as accepted. Please note that in some exceptional cases, your explicit validation is mandatory. This will be mentioned in the content of the notification message you will receive.

At the end of your household helper's service, 2 possible cases:

 

The service has been encoded by your housekeeper (via the interactive voice server or the app) *

The service has been encoded by your certified company

Your housekeeper encodes the service via phone by calling:

  • 0800 355 30 (free from the user's landline)

  • 02 547 54 97 (zone rate via mobile phone)

  • via the mobile application "Job Tracker by Sodexo"

Your certified company encodes the service provided by your housekeeper.

Your certified company validates the information given by your housekeeper (or they will be validated automatically 5 working days after the encoding of the service).

You will receive an email notification inviting you to confirm the service.

In case the Sodexo Secure Space should not be accessible in case your housekeeper doesn't register the service, we invite you to connect with the Sodexo Secure Space in order to confirm (or where appropriate dispute) the service in order to ensure a smooth payment to All Team Services or Abclean.

As of the validation date of the certified company, you have 4 working days to confirm or dispute the service in your Secure Space or via your mobile application "Service vouchers by Sodexo".


In the absence of your confirmation, the service will automatically be confirmed after 9 workingdays and can no longer be challenged. As a result, service vouchers will automatically be debited from your electronic wallet.

You will receive an email notification inviting you to confirm the service.

As of the validation date of the certified company, you have 60 calender days to confirm or dispute the service in your Secure Space or via your mobile application "Service vouchers by Sodexo".

In case of no reaction, you will receive 2 reminders:

  • 1st : after 10 calendar days

  • 2nd : after 20 calendar days

In the absence of your confirmation within 4 days, the service will automatically be confirmed and can no longer be challenged. As a result, service vouchers will automatically be debited from you electronic wallet.

*The customer provides his/her housekeeper with a phone in order to enable him/her to call the free number 0800/355 30 or 02/547 54 97 (zonal rate from a portable phone) to register the delivered service . Your housekeeper can also register the delivered service via the app. “Job Tracker by Sodexo” (if he/she has a smartphone and access to the internet).

The customer can follow the services delivered by his house keeper via the application "Service-vouchers by Sodexo" on his smartphone or via his Secure Space on the Sodexo website.


3 / SWITCHING FROM PAPER TO ELECTRONIC SERVICE VOUCHERS


To receive electronic service vouchers instead of paper vouchers, login into your Sodexo Secure Space and select the desired support type in your contact details.

Your electronic wallet will be automatically updated and visible on your Sodexo Secure Space as of your next order.


How to fill in a paper service voucher?

Fill out one service voucher per performed hour. Fill out legibly the date of the service (example: 05/08/2016). Put a cross on the type of service (housekeeper, external ironing service, household shopping or personal transportation). Sign the service voucher in the signature box.


Do not use Tipp-Ex, in case of error, cross out the mistake and write the correct information. Check the validity date of the service voucher to avoid giving your housekeeper an expired service voucher next to it. Hand the complete voucher to the housekeeper, including the tear-off strip.


Completed service vouchers are to be returned to your housekeeper and the end of each service. Please use a blue or black coloured pen to fill in the vouchers.

HOW TO REGISTER WITH SODEXO ?

The first step to order service vouchers is to register to Sodexo. This registration can be done either online or by completing a paper form.

  • Holder of a diplomatic or consular identity card
  • Member of SHAPE or NATO military personnel

2 / Payment


To order your electronic or paper service vouchers, make a transfer of the total value of service vouchers (minimum of 10 service vouchers per order) that you want to order, remembering to mention your user number in the structured communication (12 digits).
